The Complete Guide to Interactive School Viewbooks
Why independent schools are replacing printed brochures with interactive viewbooks, and how to choose the right platform
For most families, your viewbook is one of the first things they read about your school. Increasingly, they read it on a phone, alongside viewbooks from three or four other schools.
That's why more independent schools are moving to an interactive school viewbook.
What is an interactive school viewbook?
An interactive school viewbook (also called a digital viewbook or interactive school prospectus) is a mobile-first, online version of your school brochure. Families can explore it on any device, with video, virtual tours, and personalized content, and schools can update it at any time and see what families engage with.
This guide covers:
- Why schools are making the switch
- How print, PDF, and interactive formats compare
- What to include
- How to choose the right interactive viewbook platform
Why are schools moving to digital viewbooks?
Families expect information to be clear, accessible, and relevant to them, yet most school communication still isn't.
A 2026 study by ParentSquare and Hanover Research of more than 1,000 US K-12 parents found that 86% of parents rank accessible communication as a key factor when choosing a school. Only school safety (94%), teacher quality (92%), and academic performance (89%) ranked higher.
Communication also shapes enrollment decisions directly. Half of parents (50%) said communication quality influenced their decision to enroll, and 63% said it influenced their decision to stay.
Yet only 68% of parents said school communication feels personalized, the lowest score in the study.
A printed or PDF viewbook can't close that gap. It says the same thing to every family, goes out of date as soon as it's published, and is hard to read on a phone.
An interactive viewbook, however, can show a boarding family overseas, a local middle school family, and an upper school applicant the content that matters to each of them.
So if digital is where families are, which format should you choose?
Print vs PDF vs interactive viewbook: which is best?
Each format has a place, but only one is built for how families research schools today.
| Printed | Interactive | ||
| Cost | Expensive to produce and distribute | Low cost | Cost-effective, with no print or postage |
| Updates | Goes out of date quickly; wasted stock | Must be re-issued for every change
|
Update at any time
|
| Mobile Experiences | Not applicable
|
Difficult navigation; the need to zoom and scroll | Designed for phones first |
| Personalisation | Custom inserts | Same for every family | Personalized experiences |
| Analytics | None | Downloads only | Built-in tracking of what families read |
| Strengths | Memorable experience; high trust | Consistent layouts; small file sizes; password protection; offline access | Video and virtual tours; sustainable; easy to share by link |
| Watch-Outs | Cost and waste |
Doesn't support video or dynamic elements |
Needs hosting; must meet accessibility standards; no offline access; online distractions |
| Best For | Open houses and campus tours | Families who want a copy to keep | Inquiries, international families, follow-up emails |
Many schools now use both: a short printed piece for open houses, and an interactive viewbook for everything else. For more on getting the balance right, see our guide to Print vs Digital Marketing for Schools.
Once you've chosen a format, the next question is what to include.
What should a school viewbook include?
A welcome from the Head of School: A personal welcome sets the tone and shows families who will be leading their child's education. A short video works especially well.
Mission and values: Families want to know what your school stands for, not generic statements they could find on any school's website. Lead with what makes you different. (Our guide Beyond 'community and excellence' shows how.)
Student voice: Quotes, stories, and short videos from current students show what life at your school actually feels like. For many families, this is the most persuasive part. Use real students and real moments: families trust authenticity.
Academics and outcomes: Every school claims academic excellence. Prove it with college matriculation lists, college counseling outcomes, and real examples of student work.
Athletics, arts, and activities: Sports, music, theater, clubs, and trips show families how their child will grow beyond the classroom.
Student support and wellness: Introduce your advisory program, counselors, and learning support, so families feel confident their child will be known and cared for.
Boarding (where relevant): Show the dorms, the routines, and the people. Boarding families, especially international ones, want to picture daily life.
Campus and location: An interactive campus map, virtual tour, or 360° photography helps families picture your school before they visit.
Admissions, tuition, and financial aid: Keep the process simple and be clear about tuition and financial aid, or at least where to find them. Families increasingly expect transparency about cost.
How to visit or apply: Put a clear "Schedule a visit" or "Inquire" button on every page. If your viewbook feels like a maze, families won't stay long.
With your content planned, you need a platform that can bring it to life while keeping it accessible on your website.
How do you choose the right viewbook platform?
The right platform makes your viewbook easy to build, update, and measure. When comparing options, look for:
- Mobile-first design. Many families will read it on a phone, so it should be designed for one first.
- Personalization. Content should adapt to each family, for example by grade level, day or boarding, or home country. Our Intentional Personalization Engine™, powered by SprX™, does this across your website and viewbook, so every family sees the stories most relevant to them. Reach out today to book a demo.
- Easy in-house updates. Your team can change tuition, dates, and stories without calling a developer.
- Built-in analytics. You can see which sections families read, how long they stay, and what leads to an inquiry.
- Admissions system integration. Inquiry and visit forms connect to your admissions system or CRM, such as Blackbaud, Veracross, or Ravenna.
- Accessibility. It meets WCAG 2.2 AA, so every family can use it.
- Rich media. Video, virtual tours, and image galleries are built in, not bolted on.
- Brand consistency. It looks and feels like your website, not a separate product.
- Multilingual options. Important if you recruit international students.
- A printable version. For families who still want something to keep.

Once it's live, the real advantage of going digital is being able to see what's working.
How do you know if your viewbook is working?
This is where an interactive viewbook pulls ahead of print. Instead of guessing, you can see:
- Which sections families spend the most time on
- Where they stop reading
- Which content leads to an inquiry or visit
- How engagement differs by audience, such as local vs international families
With SprXdata™, these insights sit alongside your website, social media, and admissions data in one dashboard, so you can connect your viewbook to real enrollment results.
Turn your viewbook into an admissions tool
Families are researching schools on their phones, comparing several at once, and expecting information that feels relevant to them. An interactive viewbook turns your brochure into an admissions tool: always up to date, personalized for every family, and measurable.
